How the Allowance Works

What is it?

Each site has a monthly AI allowance - the amount of AI processing the site can use each calendar month. Everyone on the site shares the same allowance.

What uses it?

Every answer the Assistant gives uses part of the allowance. A complex question - for example, one that compares many devices over several periods - uses more than a simple one. That's why the allowance is shown as a percentage rather than a number of questions.

Questions that fail or can't be sent don't count.

Checking Usage

Account view

Admins can see usage for every site in Settings → AI Settings on the account. The Account usage section shows the current month, with:

  • Total conversations - conversations started across the account this month.
  • Active sites - sites with AI usage this month, out of the sites that have an allowance.
  • Near or at capacity - sites that have used 80% or more of their allowance.
  • Next reset - when usage starts over.

Below the cards, a table lists each site with its Conversations and Allowance used.

Site view

On a site, go to Settings → AI Settings to see that site's allowance used, what's remaining, the reset date, and a breakdown by user.

Usage details are visible to the same admin roles that manage AI Settings. See Managing AI Settings for Your Account and Sites.

When a Site Gets Close to Its Limit

At 80%, everyone on the site sees a yellow banner in the Assistant panel:

This site has used 80% of its shared AI usage allowance · resets [date].

You can close the banner. It comes back the next time you open the panel. The Assistant keeps working as usual.

When a Site Reaches Its Limit

At 100%, the panel shows a red banner:

This site has reached its shared AI usage limit. Access resets [date].

New questions can't be sent until the reset. If you send one anyway, your text stays in the box so you can send it later. An answer that's already being written finishes first.

When Usage Resets

Usage resets at the start of each calendar month (midnight UTC). The site's AI Settings page shows the reset time in the site's local time, and the account page shows it in your own time zone.

Note: Because the reset is at midnight UTC, sites in the Americas reset on the evening of the last day of the month, local time.

Things to Know

Notes:

  • Shared per site. One person's questions use the same allowance as everyone else's on that site.
  • Removing a chat doesn't refund usage. Deleting a chat from your history doesn't give back the allowance it used.
  • Need a bigger allowance? Contact your Panoramic Power partner or Customer Success team.
